This article explains how to make attached documents visible to your Network Suppliers across the different features on both the Web platform and the Infraspeak Next app.

1. How can I make documents visible to Network Suppliers?


By default, documents uploaded to Infraspeak are kept internal for security reasons. To make a document visible to a Network Supplier, you must explicitly grant permission during or after upload by checking the Network partner permissions option.


Note: The document file, description, document date, and expiration date are shared with your Network partner, but the document category remains internal.



2. Sharing documents on the Web platform


2.1 Sharing via Work Orders, Planned Jobs, and Planned Job Orders


To make a document visible to a supplier in a Work Order, Planned Job, or Planned Job Order:


  1. Open the relevant Work Order, Planned Job, or Planned Job Order.
  2. Scroll down to the Documents section and click Add Documents (or locate an existing document and edit its settings).
  3. Upload or drop your file into the box.
  4. Fill in any optional details (Description, Document Date, Expiration Date).
  5. Under the Network partner permissions section, tick the box related to Network client.
  6. Click Add (or Save).


Note: That option will only be available on Work Orders, Planned Jobs or Planned Job Orders that are shared via Network.


Tip: Shared documents will display a green Network icon in the Documents section and will also be logged in the Work Order history section on the right side.


3. Sharing documents on Mobile (Infraspeak Next App)


When working on mobile, document sharing is automated to speed up operations:


  1. Open the Infraspeak Next app.
  2. Locate and open the relevant Work Order or Planned Job Order (that is shared over Network).
  3. Scroll down to the Documents section and tap Add document/photo.
  4. Take a picture directly or upload a photo, video, or document from your device.


Note: Any document or photo uploaded to a Work Order or Planned Job Order via the Infraspeak Next app is automatically shared with Network Suppliers to facilitate communication.
