In Infraspeak, Work Orders go through a clear lifecycle, and the permissions to edit them after closure depend on the user's profile and the stage the Work Order is in. For users with a Technician profile, the platform applies specific rules to balance operational flexibility with proper supervision.
Understanding these rules helps technicians know exactly when they can make corrections and when they need to involve a Manager.
Before you start
Make sure you have:
A user account with a Technician profile in Infraspeak
Access to the Work Order you want to edit
Clarity on whether the Work Order has already been validated by a Manager or Administrator
Reopening a Work Order before confirmation
A technician can reopen a Work Order they have closed — for example, to correct a mistake or add missing data — only if the Work Order hasn't been confirmed or validated yet by a user with a Manager profile.
Open the Work Order you previously closed.
Use the reopen option to return it to an editable state.
Make the necessary corrections or add the missing information.
Close the Work Order again once everything is up to date.
Tip: If you spot a mistake, act as soon as possible. Once a Manager validates the resolution, the Work Order is locked for editing.
After confirmation: editing is blocked
The moment a Manager or Administrator validates the Work Order's resolution, a new layer of supervision is added. From that point on:
The Work Order becomes permanently closed for operational editing.
The technician will no longer have permission to reopen or modify it.
Any further changes will need to be handled by a user with the appropriate profile.
Tip: If you need to update a Work Order that has already been validated, contact your Manager or Administrator to discuss the best way forward.
What happens next
This two-stage rule ensures that technicians have the flexibility to fix small issues right after closing a Work Order, while still preserving the integrity of validated records. Once a Manager confirms the resolution, the Work Order is considered final from an operational perspective, which protects historical data and supports accurate reporting. If you frequently need to edit Work Orders after validation, it may be worth reviewing your internal process with your Manager to find a workflow that fits your team's needs.
