1. How to fill in the Assets template?
1.1 Downloading the template
- You can find the templates here, or feel free to ask for them to your Customer Success Manager.
- If you're downloading the template, use the Assets template.
1.2 Template structure
In this sheet, you will create the assets with their respective maintenance categories. You will need data such as: Asset code, location code, code of the maintenance category to which it belongs, characteristics belonging to the category, etc.
- On the first page of the Excel file, you will find a lot of information on how to fill in your template.
- Firstly, you'll need to select the language of your file:
- Next, you'll find an explanation of what information you'll need:
- Asset Code: Unique code for each asset
- Maintenance Code: this is the full code of the maintenance category can be found in Settings - Maintenance.
- Location code: Full code of the location that can be found in Settings - Buildings and Locations.
- Observations: asset remarks
- Maintenance Policy: Maintenance Category Policy
- NFC Code: code of the NFC Tag, if existent.
- QR Code: code of the QR Code, if existent.
- EE Columns: refer to the technical information to be found in each maintenance category.
d. Keep in mind, all Orange columns are mandatory.
2. Where to find the information on the platform?
2.1 Maintenance code
- In order to find the maintenance code, you'll need to go to Settings - Maintenance:
- You'll then see the categories available in your environment:
- Then, follow the tree to find your category code
- The category code should follow the structure FOLDER.CATEGORY or FOLDER.FOLDER2.CATEGORY (eg. BED.AC)
2.2 Location code
- The location code is the place where your asset is located. It should follow the Buildings and Locations tree.
- To find this code, you can go to Settings - Buildings and Locations:
- Choose your location:
- The Location Code should follow the tree logic: BUILDING.FOLDER.LOCATION. In this example, the code is HOUSE.BED.001
2.3 Maintenance policy
- In order to find the maintenance policy, you'll need to go to Settings - Maintenance:
- You'll then see the categories available in your environment:
- Open the category details and check for the policy:
NOTE: The information is case sensitive, make sure you fill in your file with the exact wording you have on the platform.
2.4 EE Columns
These columns have the purpose of inputting the technical information defined for each maintenance category.
- In order to find the technical information, you'll need to go to Settings - Maintenance:
- You'll then see the categories available in your environment:
- Open the category details and check for the technical information:
- The name of the EE Columns on your file should be changed according to each technical information you intend to add. The name of the column should match what you have in your environment (eg. A01 - Test).
NOTE: again, this is case sensitive. Also, beware of spaces that don't belong.
