The PHC Infraspeak Connector is a Windows service designed to automate the exchange and synchronization of information between the PHC database and the Infraspeak platform.
Technology: Operates as a scheduled service, running at configurable intervals to ensure data in both platforms remains up to date.
API Version: From version 2023.1 onwards, the connector is compatible with Infraspeak API version 3.
Configurable Synchronization: Allows configuration of the specific data sets to be synchronized, adapting to business needs.
Comprehensive Data Flows: The integration supports the workflow for creation and update of:
Customers: Eligible PHC customers are created/updated in Infraspeak (if active, with the
Infraspeak-syncoption enabled, and with theInfraspeak External IDpopulated after the last synchronization).Families/Folders and Materials/Items: PHC stock items and families/folders (not inactive, with the
Infraspeak-syncoption enabled, and with theInfraspeak External IDfield empty/unit populated) are synchronized to Infraspeak.Sales: Enables the creation of PHC sales documents based on sales generated in Infraspeak, provided they meet the required status conditions, external IDs, and are linked to previously synchronized customers/materials.
Stock: Manages stock entries and exits through Consumption Dossiers (mapped warehouses), Material Requests, and Material Order Dossiers, including an approval workflow.
The implementation of this integration requires the prior configuration of a specific documentary workflow in PHC. This setup is typically performed by the Infraspeak customer or their PHC partner.
Dossier and Series Configuration:
- It is mandatory to reserve PHC dossiers for exclusive use by the integration system.
- Specific dossier series must be configured for the connection with Infraspeak (
Infraspeak-Sale,Infraspeak-Consumption,Infraspeak-Request,Infraspeak-Request Fulfillmen).
Stock and Warehouse Control
- The integration applies to movements carried out in warehouses mapped between PHC and Infraspeak.
- Reserved stock and service references are required for correct dossier generation in PHC (e.g., service references for “Item” and “Other Costs” in Infraspeak Sales).
- Dedicated PHC warehouses must be identified for stock movements reflected in Infraspeak.
Business Value (Benefits)
This integration delivers the following business benefits:
Data Consistency: Ensures that critical information such as customers, families/folders, and inventory (stock) is synchronized and consistent between the PHC back-office system and the Infraspeak maintenance management platform.
Sales and Logistics Automation: Automates the registration of Infraspeak sales in PHC and manages the lifecycle of stock requests and consumption through controlled dossiers and movements.
Operational Efficiency: Reduces manual data entry across different systems, minimizing errors and freeing resources for higher-value tasks.
Financial and Inventory Control: By mapping warehouses and specific references, it enables tighter control over stock movements and the financial impact of operations performed in Infraspeak.
