The main objective of the integration between Infraspeak and Host is to enable recurrent (near real-time) updates on room status, helping Hotel Managers, Maintenance, and Housekeeping teams coordinate tasks efficiently without impacting guests. Additionally, this integration allows for the synchronization of Host reservation information into Infraspeak, thereby optimizing the sharing of information between Reception, Housekeeping, and Maintenance teams, and eliminating the need for calls and messages.
Thus, Host will be responsible for managing reservations and check-in, check-out, and room availability statuses. Infraspeak will be the system responsible for managing room status, ensuring constant synchronization with the Host PMS.
- In summary, this integration has two main flows:
- Establish a system for near real-time updates on room status to help the hotel manager, maintenance, and housekeeping teams coordinate tasks efficiently without disturbing guests.
- Synchronize reservation information between platforms to eliminate the need for phone calls or messages between reception, housekeeping, and maintenance teams.
How does this integration work?
Infraspeak's Housekeeper app, specifically the assets (rooms) available in this module, will be synchronized with Host. This allows updates to the asset statuses in Infraspeak Housekeeper to be synchronized with Host, enabling efficient coordination among hotel teams. Additionally, updates verified in the room on Host will be presented in Infraspeak, with this update carried out every five (5) minutes.
This integration involves the following flows:
- When a room check-out is registered in Host, the status of the corresponding asset in Infraspeak Housekeeper must be updated from "Dirty and Occupied" to "Dirty";
- When the asset status in Infraspeak Housekeeper is updated from "Dirty" to "Clean," the corresponding room in Host is marked as Clean.
- When the asset status in Infraspeak Housekeeper is updated from “Clean” to “Clean and Inspected,” the corresponding room in Host is marked as Clean and Inspected;
- When the asset status in Infraspeak Housekeeper is updated to “Out of Service,” the corresponding room in Host is marked as Out of Order;
- When a room in Host is marked as Out of Inventory, the corresponding asset in Infraspeak must no longer be presented in the Housekeeper (by changing the Location typology).
- When a reservation (Check-in/Check-out) is registered in Host, the corresponding dates in Infraspeak Housekeeper must be updated according to the reservation (CheckIn, CheckOut).
When a Housekeeper note (HK NOTE) is added in Host (category: Housekeeper), this information must be replicated in Infraspeak in the notes area corresponding to the asset.
