1. Creating a new Work Schedule/Calendar


1.1 On Settings → Work Schedule (former Calendars), select "Create calendar"



1.2 Define a name for the work schedule/calendar (mandatory) and the days + working hours to be considered for that calendar


  1. Option to mark this calendar as the default work schedule (only one default calendar per entity is allowed) → when enabled, this calendar will be applied to all users of the entity (existing and new) that don't have a work schedule assigned. Each entity can only have one default work calendar. For new entities a default calendar 9-18h is set up. For current entities, no default calendar is automatically defined.



The new calendar/work schedule will be added to the calendars list - in case it's defined as default calendar, it will be tagged accordingly and displayed on top of the calendars list. Note: When deleting a calendar from the Calendars list, you will be blocked from deleting it in case it's being used* (default calendar or not) (*used means not only in a user, but also in SLAs or PJs).



2. Assigning Work Schedule/Calendar to a User


2.1 Enter a specific user modal and scroll down to the "Work schedule" section. This section will be displayed in all user profiles except Reporters and Basic accounts





2.2 Select the work schedule applicable for this user. The Work Schedules available to choose from in the dropdown are the ones configured in the "Calendars" section (future "Work Schedule"). Note: (it's possible to have users not linked to any calendar)


  • In the scenario where Calendar A is the default calendar, and the admin wants the user to be associated to Calendar A, there are two ways: if they want the user will always follow the default calendar, then select "Default (calendar A)" from the dropdown. If the user will always follow calendar A (regardless if it's the default calendar or not) then select "Calendar A" from the dropdown.


If no default calendar is defined, a dedicated message will be shown.



3. Planning work based on the User's Work Schedule/Calendar


3.1 Go to Planner and see the user's work schedule reflected both on the Weekly and Daily Views






3.2 Drag and drop the WO/PJO card to the user and the time you wish. When planning a WO or PJO for an user during their time off, you'll will get a warning message on the sidenav but you will not be blocked from scheduling it (same behavior as today for leaves/absences)
