This guide explains, in a simple and organized way, how to export, edit, and re-import data to update Assets (e.g. indoor AC units) via an Excel file. Use this flow whenever you need to bulk update several Assets (e.g. location, notes, serial number, etc.) directly from Excel. This process allows you to update asset information quickly, safely and efficiently.


Access the Importer module


1. On Infraspeak web, go to Settings > Importer.


2. Click on "Import data" and select "Update assets".


3. Choose the asset type you want to update:

  • Equipment (e.g. Air Conditioning – Indoor Units)
  • File types (if applicable)


For the example below, we’ll use “Equipment” and filter for “Indoor Air Conditioning Units”

Export the Excel


1. Click on "Export data".


2. Wait for the notification saying your file is ready.


3. Open the notification and download/open the Excel file.The exported file includes columns with current asset information and their codes.


Know what you can and can’t edit


The Excel contains different columns. Some are read-only and shouldn't be edited, others are editable and can be used to update your assets.


Examples of columns that you should not edit (read-only):

  • Maintenance Code
  • Creation dates
  • Any columns marked as non-editable


Examples of editable columns (safe to change):

  • Location (e.g. move to a new location)
  • Notes
  • Serial number
  • Year (e.g. update to 2020)


IMPORTANT: Respect file guidelines — if a column is marked as non-editable, do not change it (do not edit non-editable fields).


Make the changes in Excel


Edit only the allowed fields.


Examples:

  • Change the Location of the last asset
  • Update Notes
  • Correct the Serial Number (e.g. from 55 to 41 or 70)
  • Update the Year

Save the file once finished.


Best practices:

  • Do not change column headers
  • Avoid adding/removing columns
  • Keep cell formats (e.g. dates, numbers)

Reimport the updated Excel


1. Return to "Data imports".


2. Click to import, and upload your edited file.


3. The system will show a summary/validation — review and confirm to start importing.


4. Track import progress in the Imports area.


5. Once marked as “Completed,” the changes are live.


Confirm the changes


1. Go to the Assets area.


2. Check if your updates (location, notes, serial number, etc.) are correctly applied.
