Managing and tracking maintenance budgets is essential for any business. Infraspeak’s bulk import feature provides an efficient way to handle this, allowing you to upload multiple budgets at once. This guide will walk you through the process, step by step.

1. To access the Budgets importer, on Infraspeak web click on Settings



2. Click on Importer > Settings



3. Choose "Import data"



4. Select "Budgets"




You can also access the "Bulk import Budgets" feature from the Budget Management module, by clicking on the three dots next to the "+ Create budget" button


5. Click on "Download template" to get the template to fill in with the Budget's details



6. On the template file you'll find 3 tabs:

  • Summary: here, you'll get all the info needed to fill in the file (read it carefully!)
  • Budgets: to fill in the core info around Budgets (name, target, period, cost sources)
  • Notifications (optional): to fill in with the alerts that should be triggered


Suggestion when filling in the file: if you have any doubt or difficulty, one way to troubleshoot the issue is to execute the flow of single budget creation to understand the expected data needed.



7. Once you have finished filling out the template, save the file and upload it by dragging and dropping it into the designated area or by clicking to upload



8. The validation step will start immediately in order to check any errors on the file



9. If there are any errors on the file, an error panel will be displayed: on top you'll find the number of errors found on each tab; below you'll have the list of each error, the specific tab and row, and the description



If this happens, you must correct the errors in your file and, afterward, click on "Replace file" to submit a new one (note: nothing will be imported until the file is error-free)



10. After the file has been successfully validated with no errors, you will see a message confirming that everything looks good. Click on "Confirm file to import"



11. After the import starts, you'll receive an email when it is complete. You can also monitor its progress in the list of imports or the list of Budgets (see below)



12. On the list of Budgets, the imported ones will show in this list as they are created
